We are recruiting for a Business Coordinator within our Document Design team.

About the Role

•    Departmental support
o    Coordinating support and contact across all areas of DDC (Document Production, Design, Document Automation, Templates, Scanning, Deeds, Print and Post) liaising with managers and other leaders as required.
o    Becoming familiar with and maintaining contacts with counterparts in other areas of Business Services and the wider business as required.
o    Act as a focal point for inter-departmental communications, making sure to stay abreast of any projects, issues, requirements and changes.
•    Project management - 
o    Assist with planning, overseeing and delivering projects formally, both formally tracking the project using firm management software, liaising the Project Management team and risk assessments/budgets/reports/evaluations
o    Maintenance of departmental Sharepoint (intranet) sites
o    E-Learning requests and budgeting
o    Projects globally including invoicing for monthly recharges
o    Having one-to-one meetings with managers to keep everyone in the loop and stay in that loop
•    Project coordination - 
o    Assisting on projects
o    Following up with stakeholders
o    Attending meetings as required to fully understand project scopes
o    Supporting managers as required
o    Training/Mentoring for any new hires under a graduate or other similar developmental banner
o    Providing pastoral and welfare “buddy” support where required to members of all levels of DDC
o    Being in office weekly and seeking out face-to-face contact with as many people as possible
•    Reporting - 
o    ServiceNow reporting
o    Undertake reporting duties for the DDC group where applicable including Document Centre, Design, Deeds and Scanning and leading on introducing reporting for Templates
o    Ensuring information from departmental management is received on time. 
•    Meetings and agendas - 
o    Arrange, minute and run quarterly meetings for all DDC managers
o    Arranging meetings and booking meeting rooms as required
o    Preparing and sending out agendas
o    Running other meetings as facilitator as required
o    Keeping track of each task in weekly catch-ups with Head of Dept
•    Ad-hoc - 
o    Recruitment - screening CVs/holding interviews
o    Assisting with developing, drafting and implementing individual and departmental training plans/assistance for colleagues in other teams (organising/creating content)
o    Leading, coordinating the social committee and coming up with fun initiatives to get all involved (Noticeboard) as well as supporting the introduction of new/amended policies and procedures
o    Writing material for internal marketing of products/services
o    Go-between and face of support for DDC colleagues, disseminating information
o    Coordinating and supporting liaison between a potential Global offering and DDC
o    Supporting Head of Department on any ad hoc projects that occur and maintaining flexibility to accept new job requirements as the department changes


About You

•    Excellent orgnaisational skills.
•    Good MS Office skills including Outlook, Word and Excel.
•    Confident in bringing your own ideas – able to look beyond the parameters and come up with something new.
•    Capable of using initiative to solve problems and contribute to departmental discussions.
•    Excellent communication skills including creating content for internal comms, requiring a good level of understanding about tone, content, and communicating with colleagues on different levels.
•    Ability to work to timeframes and produce accurate work.
•    Attention to detail required with the ability to work under own initiative.
•    Work well as part of a team.
•    Show good judgment and be able to work independently.
•    Ability to concentrate in an environment of multiple demands and distractions.
•    Able to work effectively with colleagues of all levels in an organisation.
•    Excellent written and oral communication skills.
•    Seeks and responds positively to all forms of feedback (client/line manager/appraisal), learning from experience.
•    Strongly self-motivated; always adopts a ‘can do’ approach; takes pride in work and the larger organisation.
•    Degree level education desirable, but not essential.
